Top 3 productivity apps for teams

Teams are faced with a huge challenge: collaboration. If you've ever worked with people before, you can likely attest that people often have different opinions, perceptions, methods, and attitudes that shape how they work. In a digital workspace where teams collaborate remotely, it's not easy to get teams to operate seamlessly together and stay in sync about how work should get done.

This is why I often state that teams are only as powerful as the conventions they set. In other words, your team works together most effectively when you establish guidelines for how everyone will collaborate. Setting conventions is an inherent part of working together when using productivity apps. They help you define when a teammate should add a task, change the status of a project, submit updates, communicate with others about work, etc. If conventions are not set, teammates resort to working in silos with their own software and relying on their knowledge and preferences. The scope of a task or project may not be clear to all involved, causing disruptions in development, implementation, and maintenance.

This post will introduce you to five powerful productivity apps designed for effective collaboration for teams of all sizes across all industries. These apps enable your team to set flexible conventions by providing system features that adapt to your unique workflow.

1. ClickUp

First up is ClickUp, one of the most versatile project management solutions on the market. It offers a comprehensive suite of features designed to handle multiple aspects of work, like project management, documentation, whiteboarding, and form management. The app is highly customizable and packed with features that will have you learning the software for months as you reveal new capabilities over time. Seriously, clicking on any settings button across your workspace reveals countless options that, for some users, can be overwhelming. But that's the point: ClickUp is an application that scales with your team as your business grows. They've done a great job packing multiple functions into modals you can access across lists and items in your workspace, and you can access them when you need them to jump into advanced workflow customization.

Premium pricing tiers are straightforward, too. Four tiers make up the premium offerings:

  1. Free Forever

  2. Unlimited

  3. Business

  4. Enterprise

Small and medium teams can thrive with an Unlimited plan, and medium and large teams can thrive with a Business plan. Both charge per member and include guest accounts at no additional cost, which is perfect for agencies or firms working with clients.

Key Takeaways:

  • ClickUp aims to be an all-in-one solution for your team, serving as a single source of truth for your work.

  • It combines project and task management, portfolio management, knowledge management, communication, whiteboarding, reporting, and more into one application.

  • ClickUp is one of our catalog's most affordable SaaS apps, perfect for teams looking to control costs and get more for less.

  • Pricing is simple, and smaller teams can choose the Free version if they're starting out or the Unlimited version to leverage ClickUp's powerful out-of-the-box features.

2. Asana

Asana - Timeline View
Asana - Timeline View

Asana is a popular project management tool known for its user-friendly interface and robust project management features. It helps teams plan, organize, and track work efficiently. Best of all, all of the app's robust features are so neatly organized that they make for an exceptional user interface and user experience (UI/UX).

Unlike ClickUp, Asana isn't focused on handling every aspect of your work. It focuses on work management, which encompasses team project and task management. Asana thrives on simplicity, providing an experience that doesn't feel overwhelming or cluttered with features. It's a flexible app that provides all users with a somewhat universal experience. In other words, everyone can dive into Asana and rest assured that they're all operating under the same standards and workspace structure by default. Workspaces can be divided into Teams, followed by projects within a team, and tasks and sub-tasks within a project.

Asana excels with its Views feature, which allows you to visualize tasks in your project in various ways: an Overview for project details and updates, a Timeline view for a Gantt-style view of your items, a Calendar view for scheduling, and a Dashboard view for visualizing data directly on your board. You can find more views at the top of any project, ensuring a consistent look and feel across all your projects, whether you're tracking a time-bound project sprint or an ongoing process.

Asana's pricing tiers are also quite simple, and AI features are included in premium plans instead of being offered as an add-on like other apps on this list.

  1. Free

  2. Starter

  3. Advanced

  4. Enterprise

  5. Enterprise+

We don't recommend the Free plan for any team working on projects together, as there are too many limitations that would render Asana useless for a small team. If you want to purchase Asana, you'll need a minimum of 2 members. So, we recommend Starter plans for people who want to get the most out of Asana's core features, including Asana Intelligence.

Key Takeaways:

  • Asana is focused on providing teams with an effective way to manage their projects and tasks.

  • Asana aims to connect teams together by tying projects across a workspace to different goals, providing your team with ultimate clarity as to how they're affecting your business's bottom line.

  • It's clean, consistent, highly responsive, and offers an exceptional mobile app experience that makes working on-the-go seamless.

  • Asana integrates with various tools you may already use for different purposes, like Slack, Google Drive, and Microsoft 365 apps.

Test drive an Asana Starter or Advanced plan today and see if it works for your team's workflow.

3. monday.com (Work Management)

monday.com - Project Boards
monday.com - Project Boards

monday.com is a work management app that calls itself a "work operating system" or "Work OS." It's a clever way to describe how the app supports teams around the globe to achieve incredible results for their businesses. It's highly flexible and offers customizable views like Calendar, Timeline, Chart, or Dashboard to visualize your project data in any way you want. You can also manage just about anything using a monday.com board. You can adjust your item terminology so that one board can track "Tasks" while another tracks "Posts," "Clients," or just about any item you need to track. This ensures you can use monday.com as more than just a project management system; it can be used as a database of information or to build custom workflows. All in all, teams can run projects and workflows with confidence. Its visual and intuitive interface makes it enjoyable to use, and the mobile app is a great way to manage your project boards with much of the functionality available to you on your browser or desktop app. monday.com also excels with its workflows and automation builders, allowing you to build custom team workflows visually using drag-and-drop triggers, conditions, and actions. Automations are available for the entire team or individual boards, allowing you to automate processes within the app or by including triggers and actions from third-party apps you integrate with monday.com.

monday.com offers three products under its umbrella: Work Management, CRM, and Dev. The pricing tiers for the work management product are a bit more complex than other tools, offering more options with incremental upgrades to feature availability.

  1. Free

  2. Basic

  3. Standard

  4. Pro

  5. Enterprise

If you're interested in monday.com, please note that you will need a minimum of 3 members for any paid plan under Enterprise. We recommend the Standard plan for teams just getting started, as you're granted access to monday.com's core features essential for work management and a monthly quota of integrations and automations, both areas where the Work OS shines.

Key Takeaways:

  • monday.com is a robust work management tool that enables seamless collaboration with a consistent look and feel across boards.

  • It makes setting up automations within the app super easy, allowing you to avoid manual processes in your workflow.

  • Leverage docs, templates, and different types of project boards to create the ultimate project management and tracking system for your team

  • Integrate with popular tools your team already uses, like Microsoft Teams, Google Drive, and Miro.
